Welcome to Vanchellia Expeditions. These Terms and Conditions govern bookings, safari arrangements, website use, payments, cancellations, and services provided by Vanchellia Expeditions.
By making a booking, paying a deposit or other amount toward a booking, or confirming a safari with us, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
1. About Vanchellia Expeditions
Vanchellia Expeditions is a Tanzania-based safari and travel company providing customized safari experiences, tours, accommodation arrangements, transfers, activities, and related travel services.

2. Booking Your Safari
A booking is considered confirmed once:
- Vanchellia Expeditions has accepted your requested itinerary;
- any required deposit or payment stated in your quotation or invoice has been received; and
- we have issued written confirmation of your booking.
Availability of accommodation, park activities, domestic flights, transfers, and other third-party services cannot be guaranteed until the required payment has been received and the relevant suppliers have confirmed availability.
Quotations do not constitute confirmed bookings unless specifically stated otherwise.
3. Safari Prices
Safari prices are based on the itinerary, number of travellers, travel dates, accommodation category, activities, transport arrangements, park fees, taxes, and other services specified in your quotation.
Unless otherwise stated, prices are generally quoted per person in the currency shown on the quotation.
Prices may change before a booking is confirmed due to changes in:
- park or conservation fees;
- government taxes or levies;
- accommodation rates;
- fuel costs;
- domestic flight charges;
- exchange rates;
- supplier costs; or
- other circumstances outside our reasonable control.
Once full payment has been received, we will make reasonable efforts to protect the confirmed price. However, newly introduced government taxes, statutory fees, or mandatory charges may still be payable by the traveller where legally applicable.
4. What Is Included
Your individual safari quotation or itinerary will clearly specify what is included.
Depending on the package, this may include:
- accommodation;
- meals as stated in the itinerary;
- safari vehicle and transportation;
- professional safari guide;
- park and conservation fees;
- airport transfers;
- scheduled activities;
- domestic flights where specifically included; and
- other services shown in the confirmed itinerary.
Only services specifically stated as included should be considered part of the booking.
5. What Is Not Included
Unless specifically included in your confirmed itinerary, safari prices generally do not include:
- international flights;
- visas;
- travel insurance;
- medical expenses;
- vaccinations;
- personal expenses;
- gratuities;
- alcoholic or premium beverages;
- optional activities;
- excess baggage charges;
- personal shopping;
- passport-related costs; or
- services not specifically listed as included.
6. Payments
Payment instructions, deposit requirements, due dates, and balances will be stated in your quotation, booking confirmation, or invoice.
Bookings requiring third-party services such as lodges, camps, flights, permits, or special activities may require earlier or additional payment.
The traveller is responsible for ensuring that payments are received by the stated due dates.
Any bank, card-processing, transfer, intermediary, or currency-conversion charges that are not specifically included in the quotation may be payable by the client.
7. Late Payment
If payment is not received by the required due date, Vanchellia Expeditions reserves the right to:
- request immediate payment;
- release accommodation or other services being held;
- revise the quotation based on newly available services; or
- cancel the booking.
We will make reasonable efforts to contact the traveller before cancelling a confirmed arrangement due to non-payment.
8. Cancellation by the Traveller
All cancellations must be submitted to Vanchellia Expeditions in writing.
Cancellation charges depend on factors such as:
- how close the cancellation occurs to the travel date;
- accommodation cancellation policies;
- airline or transportation policies;
- park permits;
- activity bookings;
- supplier charges; and
- other non-refundable services already committed on your behalf.
The applicable cancellation conditions will be communicated in your booking proposal, quotation, invoice, or confirmation where relevant.
Any amount already paid to third-party suppliers and declared non-refundable by those suppliers may not be recoverable.
We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation and interruption coverage.
9. Changes Requested by the Traveller
We understand that travel plans sometimes change and will make reasonable efforts to accommodate requested amendments.
Changes may result in additional costs where they affect:
- travel dates;
- accommodation;
- domestic flights;
- park reservations;
- number of travellers;
- room configuration;
- safari vehicle requirements;
- activities; or
- other booked services.
Any additional costs resulting from client-requested amendments will be communicated before the revised arrangements are confirmed.
10. Changes to the Itinerary
Safari travel may occasionally require itinerary adjustments because of circumstances such as:
- weather conditions;
- road conditions;
- wildlife movements;
- park regulations;
- accommodation availability;
- flight schedule changes;
- safety concerns;
- government restrictions; or
- other operational circumstances.
Vanchellia Expeditions reserves the right to make reasonable changes to an itinerary where necessary for safety, practicality, or the proper operation of the safari.
Where possible, we will provide an alternative service of similar standard and value.
Changes made for operational or safety reasons do not automatically constitute cancellation of the safari.
11. Accommodation
Accommodation is arranged according to the properties, room categories, and meal plans specified in the confirmed itinerary.
Where a confirmed property becomes unavailable for reasons beyond our control, we may arrange alternative accommodation of a reasonably comparable standard.
Room preferences such as twin beds, double beds, adjoining rooms, particular views, or special room locations are subject to availability and cannot always be guaranteed.
12. Wildlife Viewing
Tanzania offers exceptional wildlife experiences, but wildlife exists in natural environments and moves freely.
Vanchellia Expeditions cannot guarantee sightings of:
- specific animals;
- particular predators;
- river crossings;
- migration herds;
- births;
- hunting activity; or
- any other wildlife event.
Our guides will use their local knowledge and experience to provide the best possible opportunities while respecting park regulations, wildlife, and guest safety.
13. Passports, Visas and Entry Requirements
Each traveller is responsible for ensuring that they:
- hold a valid passport;
- obtain any required visa;
- meet Tanzania’s entry requirements;
- satisfy requirements for any other country included in the itinerary; and
- carry any documentation required by immigration or other authorities.
Vanchellia Expeditions may provide general travel information, but responsibility for obtaining correct travel documentation remains with the traveller.
14. Health and Medical Requirements
Travellers are responsible for determining whether they are medically fit to participate in their chosen safari, trek, activity, or other travel arrangement.
You should seek appropriate professional medical advice regarding:
- vaccinations;
- malaria prevention;
- medications;
- altitude considerations;
- dietary requirements;
- allergies; and
- any personal medical conditions.
Travellers should inform us before travel of any medical condition, disability, allergy, dietary requirement, or other circumstance that may materially affect their safari arrangements.
15. Travel Insurance
We strongly recommend that every traveller obtains comprehensive travel insurance before departure.
Appropriate insurance should ideally cover:
- medical treatment;
- emergency evacuation;
- trip cancellation;
- trip interruption;
- missed connections;
- baggage loss or damage;
- personal belongings;
- flight disruptions; and
- activities included in the itinerary.
The traveller is responsible for understanding the limitations and exclusions of their chosen insurance policy.
16. Safari and Activity Risks
Travel in Tanzania may involve natural and unavoidable risks associated with:
- wildlife;
- remote areas;
- road travel;
- changing weather;
- uneven terrain;
- hiking;
- trekking;
- boating;
- adventure activities; and
- other outdoor experiences.
By participating in these activities, travellers acknowledge the ordinary risks associated with this type of travel.
All guests must follow reasonable safety instructions provided by guides, accommodation providers, park authorities, and other authorized personnel.
17. Behaviour and Safety
Vanchellia Expeditions reserves the right to refuse or discontinue services to a traveller whose conduct:
- threatens their own safety;
- threatens another person’s safety;
- seriously disrupts the experience of others;
- damages property;
- violates wildlife or park regulations; or
- involves unlawful conduct.
In such circumstances, additional costs resulting from termination of services may be the traveller’s responsibility.
18. Children
Parents or legal guardians are responsible for supervising children travelling with them.
Some lodges, activities, walking safaris, trekking routes, or wildlife experiences may have minimum age restrictions imposed by the relevant supplier or authority.
We will advise where known restrictions affect a proposed itinerary.
19. Special Requests
We will make reasonable efforts to assist with special requests relating to matters such as:
- dietary requirements;
- honeymoon arrangements;
- accessibility;
- room preferences;
- birthdays;
- anniversaries; and
- other personal requests.
However, special requests remain subject to availability and cannot be guaranteed unless expressly confirmed in writing.
20. Third-Party Suppliers
Vanchellia Expeditions may arrange services supplied by independent third parties, including:
- hotels;
- lodges;
- camps;
- airlines;
- activity operators;
- transportation providers;
- park authorities; and
- other tourism service providers.
These suppliers may operate under their own terms, cancellation policies, safety procedures, and conditions.
We take reasonable care when selecting service providers but do not directly control every action or operation of independent third parties.
21. Flights and Transportation
Flight times and schedules may change without advance notice.
Vanchellia Expeditions is not responsible for airline schedule changes, delays, cancellations, baggage restrictions, or disruptions caused by the airline itself, although we will provide reasonable assistance where arrangements booked through us are affected.
Travellers are responsible for complying with baggage limits applicable to international, domestic, charter, or light-aircraft flights.
22. Force Majeure
Vanchellia Expeditions will not be responsible for failure or delay in providing services where performance is prevented or materially affected by circumstances beyond our reasonable control.
These may include:
- severe weather;
- natural disasters;
- fire;
- flooding;
- epidemics or pandemics;
- war or civil disturbance;
- terrorism;
- strikes;
- government action;
- border closures;
- park closures;
- transportation disruption;
- aviation restrictions; or
- other extraordinary events.
Where such circumstances occur, we will make reasonable efforts to assist with alternative arrangements. Additional costs may apply depending on the circumstances and supplier policies.
23. Refunds
Where a refund is due, the amount will depend on recoverable funds after applicable supplier cancellation charges, bank charges, administrative costs, and non-refundable services have been accounted for.
Refund processing times may also depend on third-party suppliers and payment providers.
No refund will generally be available for services voluntarily declined, missed, or unused after the safari has commenced unless otherwise agreed.
24. Complaints During Travel
If you experience a problem during your safari, please inform your guide or Vanchellia Expeditions as soon as possible.
Early notification gives us the opportunity to investigate and, where reasonably possible, resolve the issue while you are still travelling.
If the matter cannot be resolved during your trip, please contact us in writing after the safari with details of the issue.
25. Photography and Marketing
We will not intentionally use identifiable guest photographs for commercial marketing without appropriate permission where consent is required.
Guests should also respect the privacy of local communities, staff, guides, and other travellers when taking or publishing photographs.
26. Website Information
We make reasonable efforts to ensure information published on our website is accurate and current.
However:
- safari prices may change;
- accommodations may be renovated or substituted;
- park regulations may change;
- itineraries may evolve;
- images are illustrative; and
- wildlife experiences cannot be guaranteed.
Your final booking confirmation and itinerary take precedence over general website information where there is a difference.
27. Intellectual Property
Unless otherwise stated, website content belonging to Vanchellia Expeditions, including branding, text, graphics, layouts, and original materials, may not be copied, reproduced, distributed, or commercially used without permission.
Third-party images, trademarks, or content remain the property of their respective owners.
28. Privacy
Personal information provided during enquiries and bookings may be used to:
- communicate with travellers;
- prepare quotations;
- process bookings;
- coordinate suppliers;
- arrange travel services;
- process payments; and
- fulfil legal or operational obligations.
Personal information will be handled in accordance with our Privacy Policy and applicable data-protection requirements.
29. Limitation of Liability
To the extent permitted by applicable law, Vanchellia Expeditions will not be liable for losses arising solely from circumstances outside our reasonable control or from the independent actions of third-party providers.
Nothing in these Terms and Conditions is intended to exclude or restrict any liability that cannot legally be excluded under applicable law.
30. Governing Law
These Terms and Conditions shall be governed by the laws applicable in the United Republic of Tanzania.
Where a dispute arises, the parties should first make reasonable efforts to resolve the matter amicably before pursuing formal legal remedies.
31. Changes to These Terms
Vanchellia Expeditions may update these Terms and Conditions from time to time to reflect changes in:
- business operations;
- supplier requirements;
- legislation;
- payment procedures; or
- travel conditions.
The version applicable to a confirmed booking will normally be the version communicated or available when that booking was confirmed, subject to any mandatory legal requirements.
